Here’s the first thing you need to know about Podium: it is not a CRM. It is not field service software. It does not schedule jobs, dispatch trucks, manage pipelines, or produce estimates.
What Podium actually is: a communication platform that sits between your customers and your business. It pulls every incoming message — texts, phone calls, webchat, Google messages, Facebook, Instagram — into a single inbox. It automates review collection via text. It lets you collect payments by sending a link. And its AI Employee answers leads around the clock, even when you’re on a roof at 6 AM or your office closed three hours ago.
Podium was founded in 2014 in Lehi, Utah — originally called RepDrive, built because the co-founder watched his father’s tire shop struggle to manage online reviews. It has since raised $440 million in venture funding, hit a $3 billion valuation, and now serves over 100,000 businesses. But here’s the critical distinction most contractors miss before signing: Podium layers on top of your existing software. If you run ServiceTitan or Housecall Pro, Podium adds the communication and reputation layer. If you don’t have a CRM yet and you’re shopping for your first business platform, Jobber at $39/month or JobNimbus at $225/month will do far more for your day-to-day operations.
Full disclosure: I haven’t run Podium on my own business lines yet. This review is built from deep research — crawling Podium’s product pages, analyzing G2, Capterra, BBB, and Trustpilot reviews, and reading contractor-specific case studies. Where I’m drawing conclusions from research rather than hands-on use, I’ll say so.
Podium’s Core Features: Where the Money Goes
Unified Inbox
This is the feature that sells most contractors on Podium, and it works the way it should. Every message your business receives — SMS, phone calls, webchat conversations, Google Business messages, Facebook Messenger, Instagram DMs, email — lands in one feed. Your whole team sees the same conversation history. No more checking four different apps while you’re trying to eat lunch.
You can assign conversations to specific team members, tag them by status, and track response times. For shops with front-office staff handling inbound leads while techs are in the field, this alone can eliminate the “I thought you called them back” problem that costs most contractors 2-3 jobs per week.
Review Collection and Management
This is what put Podium on the map, and it remains their strongest feature. After a job is complete, Podium sends an automated text with a direct link to leave a Google review. Not an email that sits unread — a text that gets opened within minutes.

Text-to-Pay Payments
Send a payment link via text. Customer taps, enters their card, done. No chasing checks, no “I’ll mail it Friday,” no running a card reader at the job site unless you want to.
Podium also supports tap-to-pay on both iOS and Android — your phone becomes a card terminal. Buy-now-pay-later financing options are available, and you can set up recurring payments and auto-pay enrollment for maintenance agreements.
One concern: payment processing fees are not publicly disclosed. Industry estimates put them at 2.15%-2.9% plus a per-transaction fee, but Podium won’t confirm until you sign. That opacity is worth flagging, especially when Jobber and Housecall Pro publish their rates upfront.
Phones and VoIP
Podium includes a full VoIP phone system. Make and receive calls from the desktop app or mobile app using your business number — no personal cell number shared with customers. Call recording, transcription, AI-generated call summaries, IVR menus, call routing, and team extensions are all included.

Bulk SMS campaigns with personalization, templates, and AI-powered send-time optimization. Track response rates and unsubscribes. The open rate advantage over email is real — texts get read at roughly 98% vs. 20-30% for email.
The limitation: the Core plan caps you at 250 bulk messages per month, and unused credits don’t roll over. If you run a seasonal business with periodic blasts to your customer list, you’ll need the add-on pack. Additional bulk message credits are available up to 10,000 per month.
The AI Employee: Podium’s $100M Bet
Podium’s AI Employee is the product they’re betting the company on — they hit $100 million in AI agent annual recurring revenue in under 24 months. For home services, the AI is branded “Larry.”

The technology runs on OpenAI’s GPT-5.1 with Podium’s proprietary business-context layer (Source: OpenAI case study, January 2026). You can train it using plain English instructions through their “AI Studio” interface — tell it to say “HVAC system” instead of “air conditioner” and it adapts in about 60 seconds. Those are vendor numbers, so take them with contractor-grade skepticism. But even at half those figures, the ROI math starts working for shops doing enough volume.
The AI Employee is a separate add-on — pricing is not public and requires a sales call. That’s frustrating, but consistent with Podium’s overall pricing opacity.

The Real Cost for a Contractor
A 10-person HVAC company with 2 locations, 4 phone seats, and the AI Employee is likely looking at $550-700/month before payment processing fees. That’s in the range of ServiceTitan’s per-tech pricing — except ServiceTitan gives you a full FSM platform while Podium gives you communication tools only.
A solo operator or 3-person crew would pay $399/month minimum for functionality that NiceJob handles at $75/month (review collection) or that Rosie covers at $49/month (AI call answering). The math doesn’t pencil unless you’re converting enough extra leads to cover the premium.
The Contract Trap
Annual contracts only. Auto-renewal for another 12 months unless you cancel in writing at least 30 days before your term ends. This is the single most complained-about aspect of Podium across every review platform. The BBB gives Podium a D- rating with multiple unresolved complaints about billing after attempted cancellation (Source: BBB, 2026). Trustpilot tells the same story at 4.1/5 overall — the happy customers love the product, the unhappy ones describe contract nightmares.

The Mobile App
Podium’s mobile app is genuinely excellent — 4.7 stars across 23,300+ ratings on the App Store. It’s the #1 rated customer communication app in the App Store, and it earns that ranking.
From the app you can send and receive texts and calls using your business number, process text-to-pay and tap-to-pay transactions, respond to reviews with AI-suggested replies, view call transcripts and AI summaries, and get customized push notifications. Multiple team members can use the same business number from their personal devices — the crew lead and the office manager both see the same conversations.
Some users report occasional glitches and a learning curve with navigation (Source: Capterra reviews), but the overall mobile experience is a clear strength. For contractors who live on their phones between jobs, this matters.
Integrations: What Connects and What Doesn’t

Can Podium Plug Into AI Agent Workflows?
Podium has a REST API at developer.podium.com with OAuth 2.0 authentication and webhook support. That said, it’s not self-serve — you need to apply for a developer account and work with a Podium integration representative. For contractors building custom AI workflows with tools like Zapier or Claude-based automation, the Zapier triggers (invoice paid, review submitted, new call) offer the most accessible path. Direct API access is possible but takes more effort than most contractor operations justify.

The review data tells two distinct stories depending on where you look.

A working contractor’s read: if you go in knowing the contract terms, setting your calendar reminders, and budgeting for the full annual commitment, the product itself is strong. Just don’t assume you can try it for a few months and walk away easily.
Where Podium Earns Its Price Tag
The 8-15 truck shop that’s already running FSM software. You have ServiceTitan or Housecall Pro handling dispatch and scheduling. Jobs are flowing, but you’re bleeding leads after 5 PM because nobody’s answering the phone. Your Google review count is stuck at 47 while the competitor down the street has 300+. You’re paying a part-time CSR to send follow-up texts manually. If those three problems are costing your business real money — and for mid-size contractor shops, they usually are — Podium solves them better than most alternatives.
The catch is what it costs and what it doesn’t do. At $399+/month with annual lock-in, you’re paying a premium for a communication layer on top of your existing software stack. Solo operators and small crews should look at cheaper, more focused tools. And anyone signing the contract should read every line, set renewal reminders, and get cancellation terms in writing before day one.
For the right contractor — 5+ trucks, existing FSM, strong lead volume, and the budget to invest in faster response times — Podium is a legitimate revenue driver. For everyone else, the price tag is hard to justify when tools like NiceJob, Rosie, and Jobber cover the basics at a fraction of the cost.
